About this opportunity
We are seeking an experienced, motivated, energetic and highly organised Senior Administration Officer to support the effective and efficient operation of Health Translation Queensland (HTQ).
The primary purpose of the position is to provide a wide range of operational business administration services that enable and support HTQ to operate efficiently and effectively. The role coordinates HTQ's business administration through, but not limited to, the provision of high-level executive support, monitoring of processes, preparation of key reports and documentation, data input and analysis, provision of digital communication and marketing support, as well as management of HTQ's correspondence system.

- Full-time (100%), fixed-term position through to 30 June 2026
- HEW level 6 - the full-time equivalent base salary will be in the range of $84,871 - $91,158, plus a generous super allowance of up to 17%. The total FTE package will be up to $99,300 - $106,655 annually.

Key responsibilities:
- Provide high-level administrative support to the Board Chair, Executive Director and Operations Director, including secretariat support services for the HTQ Board and other groups as required.
- Provide support for strategic and operational business planning, implementation activities and reporting.
- Working with relevant professional services teams to provide support for marketing and events and human resources processes.
- Action all financial processes within HTQ including accounts payable and receivable, credit card and other reconciliations, procurement matters and travel arrangements.
- Support digital communication and marketing activities, event management and reporting.
- Actively participate in the development, implementation, review and maintenance of internal systems, processes and work practices.
- Identify areas for improvement and recommend and implement enhancements to existing practices.
About you
- Candidates require highly effective administration, coordination and interpersonal communication skills and demonstrate a commitment to providing a high level of customer service.
- A degree with subsequent relevant experience, or an equivalent combination of relevant experience and/or education and training.
- Strong written and oral communication skills with an eye for detail, including experience in the preparation and completion of complex reports, for both internal and external stakeholders.
- Demonstrated experience providing exceptional executive assistance to an executive team.
- Experience using computer programs including the Adobe Creative Suite, Microsoft Office Suite, media monitoring systems, content management systems and correspondence management systems.
- Experience supporting administrative accounting functions and ensuring compliance with the organisational accounting and finance standards.
- Demonstrated ability to support the planning, promotion, execution and evaluation of events and forums.
- Demonstrated ability to work under pressure, meet tight deadlines, respond to new and unexpected events and appropriately escalate issues.
- Experience in the health care or research environment including the interpretation and application of legislation, policy and practice directives in an operational environment is preferable or alternatively a similar work experience that demonstrates your previous exposure to governed systems and an ability to rapidly acquire necessary knowledge.
